MEETING GUIDELINES (SOP)
Effective meetings require preparation, punctuality, active participation, minimizing distractions, and respectful communication to achieve productive collaboration.
Pre-Meeting check :
Confirm Meeting Participation: Accept the meeting invite/Message promptly to confirm your attendance and ensure timely participation.
Install Required Extensions: Download and install the Chrome Remote Desktop extension from the Chrome Extensions Store to facilitate remote support.
Join Daily Training Sessions Punctually: Attendance in daily training sessions is mandatory. Any lateness will be strictly monitored.
Prepare for the Meeting: Ensure a stable internet connection on both your mobile and PC. Set up your laptop/PC workspace in advance, so you’re fully prepared before the meeting begins.
Familiarize Yourself with Tools: Prior to the meeting, watch instructional YouTube videos to understand how to use essential tools such as Google Meet, WhatsApp Desktop app, screen sharing during video calls, and the AnyDesk remote support tool.
During Meetings notes:
Choose a Quiet, Professional Space: Sit in a quiet area, maintain a professional posture, and ensure minimal background distractions.
Enable Video for Interaction: Turn on your video to enable effective face-to-face interaction. Position your camera at eye level for natural engagement.
Stabilize Your Device and Silence Notifications: Secure your mobile or PC in a steady position, set your phone on silent, and minimize notifications to avoid disruptions.
Use Headphones for Clarity: Wear a headset or earbuds to ensure clear audio and reduce background noise.
Limit Interruptions: If possible, refrain from answering calls or messages during the meeting to stay fully engaged.
Participate Actively: Contribute to discussions and engage with others to make the most of the meeting.
Inform : If you need to pause or leave an ongoing meeting, please notify Sir or other participants in advance. Additionally, if you’re unavailable to join at the scheduled time tomorrow, reschedule the meeting time today.
